SMS Opt-In Consent Policy

1. How Consent Is Collected
RingAssist sends transactional SMS messages to customers of home service businesses (lawn care, electrical, HVAC, inspection, plumbing, etc.). The customer always initiates contact by calling the business phone line. Consent is collected verbally during the inbound phone call, as described below.
Step-by-Step Consent Flow
- Customer calls a business — The customer dials the business phone number on their own initiative.
- AI receptionist answers — The RingAssist AI receptionist greets the caller, collects job details (name, address, job description, preferred schedule), and screens the request.
- Explicit consent prompt — Before any SMS is sent, the AI receptionist reads the following script word-for-word:
"Before we confirm your booking, would it be okay if [Business Name] sends you a text message with your appointment details? Message and data rates may apply. You can reply STOP at any time to opt out, or HELP for assistance. Message frequency varies based on your bookings."
- Customer responds — The customer must verbally confirm ("yes", "sure", "that's fine", etc.) before any text message is sent. If the customer declines, no SMS is sent and the business contacts them by phone only.
- Consent is logged — A record of the verbal consent (including timestamp and call recording) is stored in the RingAssist system for compliance purposes.
- Opt-in confirmation SMS — Immediately after verbal consent, the customer receives a confirmation text message:
"You've opted in to receive appointment-related texts from [Business Name]. Msg frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help."
Important Notes on Consent
- Consent is collected on a per-call, per-customer basis. Each new caller must consent independently.
- Mobile opt-in data and consent are not shared with third parties or affiliates for marketing or promotional purposes.
- Messages are sent from the business's RingAssist-powered phone number (a standard 10-digit local number).
- All messages are transactional and appointment-related only. No marketing or promotional messages are ever sent.
2. What Messages Are Sent
After you consent, you may receive the following types of transactional text messages:
- Appointment confirmation with a link to view your job details
- Photo upload requests so the technician can prepare for your appointment
- Scheduling changes or updates to your appointment
- Job status updates (e.g., confirmation, cancellation, rejection)
Sample Messages
Appointment Confirmation:
"Thank you [Customer Name] for calling [Business Name]. Your inspection appointment is booked for [Date] at [Time]. Please upload photos of the site using this link: https://app.ringassist.me/job-client?id=abc123. You can also track any updates on the link by simply refreshing the page. Msg and data rates may apply. Msg frequency varies. Reply STOP to opt out, HELP for help."
Job Rejection Notice:
"Hi [Customer Name], we are sorry to let you know that [Business Name] is unable to take on your requested job at this time. Reason: outside service area. We apologize for the inconvenience and appreciate you reaching out. Msg and data rates may apply. Reply STOP to opt out, HELP for help."
3. Message Frequency
Message frequency varies based on your appointment activity. You will typically receive 1 to 3 messages per appointment.

5. Opting Out
You can opt out at any time by replying STOP to any message. You will receive one final confirmation that you have been unsubscribed and will not receive any further messages. You may also opt out by contacting us at [email protected].

7. Privacy
Your phone number and personal information are only used to send appointment-related messages. Mobile opt-in data and consent will not be shared with third parties or affiliates for marketing or promotional purposes. SMS messages are delivered via Twilio, Inc.
